01Who we are
MailFloo is an email verification service operated from the United States.
02What MailFloo does with an email address
When you upload a list, type in a few addresses, or send an address through our API, MailFloo checks whether it is likely to be a real, working mailbox. It looks at the address itself, looks up the domain's DNS and mail-server records, and has a short technical conversation with the domain's own mail server. No email is ever sent to the address you are checking. The process ends before any message could exist.
MailFloo may also use trusted automated services to check technical signals about a domain, for example whether it belongs to a known disposable email provider. This is part of carrying out the verification you asked for. We do not sell, rent, or share your lists or the addresses on them for advertising or any other unrelated purpose.
03What we collect and why
- The email addresses and files you submit, so we can check them and give you the result.
- Account information: your name, sign-in email address, and how you use the service, so you can sign in and we can keep your account working.
- Delivery outcomes you choose to tell us about (for example, that a message you sent was delivered or bounced), so the service gets more accurate over time. You control what you send us here.
- Basic technical information such as IP address and browser type, for security, fraud prevention, and keeping the service running.
- Anything you send us directly, such as a message through our contact form, so we can read it and reply.
04How long we keep it
- Uploaded files and verification results are generally kept for 30 days so you can download them, then deleted on a routine automated schedule.
- Technical evidence from the verification process (such as a mail server's response) is kept in a de-identified form once a file is deleted. The email address itself is replaced with a one-way fingerprint that cannot be turned back into the original address.
- Delivery outcomes you record are kept to help calibrate future results.
- Account information is kept while your account is active, and for a reasonable period afterwards where accounting, security, or legal reasons require it.
- Contact-form messages are kept as long as reasonably needed to handle your enquiry and keep a record of it.
Routine backups may retain deleted information for a short additional period before they are cycled out. This is normal for any hosted service and does not extend the periods above.
05Who can see your information
Your lists, results, and account details are visible to you and to the administrator of your MailFloo account. We do not sell your data. We may share information where the law requires it, where necessary to protect the security or integrity of the service, or with service providers who help us run MailFloo (such as our hosting provider) and who may only use it to provide that service to us.
06Security
We use reasonable technical and organisational measures to protect the information we hold, including encrypted connections, restricted administrative access, and routine security monitoring. No method of storing or transmitting information is completely without risk, and we cannot guarantee absolute security, but we take it seriously and act promptly when something needs attention.
07Your choices and rights
- Keep specific addresses or whole domains out of every check using the do-not-verify list on your account.
- Delete a past verification run at any time. The 30-day deletion happens automatically regardless.
- Ask us what personal information we hold about you, to correct it, or to delete your account and associated data. Write to us using the details below and we will respond within a reasonable time.
- If you are in a place with specific data protection laws (for example the EU or UK GDPR, or a US state privacy law), the rights under those laws apply to you in addition to the above, to the extent they apply to our processing.
08Children, location, and changes
Children. MailFloo is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.
International use. MailFloo's servers are in the United States. If you use MailFloo from elsewhere, your information is processed there under United States law.
Changes. We may update this page from time to time as the service changes, and will update the date at the top when we do. If a change is significant, we will make a reasonable effort to let account holders know.
